Meeting Planner (Clarion Hotel Helsinki Airport)

We’re looking for a Meeting Planner who knows that every unforgettable visit begins with a great first impression and carries through every interaction. As a part of our Meetings & Events team, you have a passion for customer service and creating unforgettable experiences for our guests. We are seeking a passionate and talented person to join our dynamic team.

This is a permanent full-time position (112.5 h / 3 weeks) with a start date as soon as possible. 

What you'll do:

• Customer Journey Management: After handover from the in-house sales team, you will follow the customer through the entire planning process, implementation, and follow-up of their event, conference, or group booking.

• Warm Welcome & Presence: You will call or email the customer upon first contact, welcome them on-site when they arrive, and introduce the responsible conference staff. You will also conduct tours of the hotel.

• Seamless Communication: Ensure all relevant departments (kitchen, restaurant, housekeeping, maintenance, and finance) have the correct and up-to-date information. Be thoroughly informed about upcoming groups, identify logistical challenges in good time, and discuss solutions with the team.

• Sales & Administration: You will be responsible for increased sales (including regular BBOB sales actions), act as an intermediary between external suppliers, and manage invoices. You'll also handle commission reconciliations and always update accrued costs.

• "One Team" Spirit: When the house is busy, we all roll up our sleeves! You will actively support operations when required—whether it's serving lunch, helping with morning coffee during peak hours, or assisting with meeting room turnarounds.

• Sustainability & Systems: Compile and send "Environmental Impact Reports" post-event. You will actively use systems like Mews, Motimate, Event Temple, and Loopon. (Prior knowledge in Mews & Event Temple is highly valued.)

Is this you?

• 2-3 years of experience within large-scale events in the dynamic hospitality industry.
• A relevant Bachelor’s degree (e.g., in Hospitality Management, Event Management, Business Administration, or a related field)
• Excellent communication and interpersonal skills.
• Strong organizational skills and meticulous attention to detail.
• A genuine passion for delivering high-quality customer service.
• Strong problem-solving skills and a proactive, can-do approach.
• A knack for turning challenges into opportunities, adept at managing multiple tasks in a day, and consistently maintaining high standards, even when things get tough.
• Flexibility to work various shifts occasionally when needed (including evenings, weekends, and public holidays).
• Fluency in both English and Finnish.
